Privacy Notice
This privacy notice is applicable to all candidates applying for vacancies at the Procure Plus Holdings Limited group of companies, including those employed by OSCO Homes Limited and Re:vision North Limited.
This statement tells you how we meet our obligations under the UK General Data Protection Regulation and The Data Protection Act 2018, regulations and secondary legislation, as amended or updated from time to time in the UK (Data Protection Legislation) and how you can access any data we hold about you.
Why do we need to collect and process your personal data?
In order to assess your suitability for a role and administer the recruitment process we need to collect, hold and process information about you for management and administrative purposes, to enable us to manage our relationship with you effectively, lawfully and appropriately during the recruitment process, and if successful, whilst you are working for us, at the time when your employment ends and after you have left.
This includes using information to enable us to comply with any legal requirements, pursue the legitimate interests of the Company and protect our legal position in the event of legal proceedings. If you do not provide this data, we may be unable in some circumstances to comply with our obligations and we will tell you about the implications of that decision.
What information do we hold about you?
The sort of information we may hold includes contact details, documentation relating to your recruitment, for example CVs, interview and assessment centre notes and scores, and references from previous employers (which may include disciplinary and grievance records, or sickness absence records), where appropriate disabilities or medical conditions that we need to be aware of in order to make reasonable adjustments to the recruitment process; and records relating to your career history, such as evidence of qualifications or driving licence.
The below examples are provided for illustrative purposes and are non-exhaustive:
- name, email address, contact details at work and at home
- application forms, career history, references, qualifications and training, interview notes, right to work identification documents e.g. passport, offer letters and contract documents
- driving licences and driving offences
- salary details
- disabilities or medical conditions
Criminal Offence Data
For certain roles we may require as a condition of that appointment that you consent to undertake a DBS check which will contain details of any criminal convictions.
Where we are processing data based on your consent, you have the right to withdraw that consent at any time.
We do not collect special categories of information relating to your racial or ethnic origin, political opinions, religious and philosophical beliefs, trade union membership, biometric data or sexual orientation and we will always obtain your explicit consent to those activities unless this is not required by law or the information is required to protect your health in an emergency.
Where does it come from?
Much of the information we hold will have been provided by you, but some may come from other internal sources, such as notes produced by the interview panel, or in some cases, external sources, such as referee.
What we do with it
All the personal data we process is processed by our staff in the UK and our IT hosting and maintenance is located on servers within the European Union. We do not intend to transfer data outside of the European Economic Area but in the event that we do so we will comply will all appropriate transfer mechanisms as stipulated by Data Protection Legislation.
We have security arrangements in place to guard against unauthorised access, improper use, alteration, destruction or accidental loss of your personal information. We take appropriate organisational and technical security measures and have rules and procedures in place to ensure that any personal information we hold is not accessed by anyone it shouldn’t be.
We do not use automated decision making.
If in the future, we intend to process your personal data for a purpose other than that which it was collected we will provide you with information on that purpose and any other relevant information.
Who we share it with
As the group operates a central human resource (HR) function, information collected about you may be transferred to other group companies for purposes connected with your potential employment.
We may also use third party software to process your information e.g. Recruitee
When we use third party organisations to process information on our behalf we ask them to demonstrate their compliance with our security requirements, and any instructions we may give them and their compliance with relevant data protection legislation throughout.
How long we keep it
We keep data of unsuccessful candidates for a period of 6 months from the date of application. If you are successful, your data will be retained, and you will be provided with an updated privacy notice explaining what we do with employee data.
What are your rights?
You have the right to request from us access to and rectification or erasure of your personal data, the right to restrict processing, as well as in certain circumstances the right to data portability or to object to processing.
If you have provided consent for the processing of your data, you have the right (in certain circumstances) to withdraw that consent at any time which will not affect the lawfulness of the processing before your consent was withdrawn.
Where this data has been shared with third parties, as described above, we will inform them of any corrections, requests for deletions or restrictions as appropriate. Where a request has been made electronically, data will be provided in a commonly-used electronic from unless the individual has requested otherwise.
Where you have requested access to your personal data, one copy will be provided free of charge (unless the request is manifestly unfounded or excessive) within one month of receipt of the request.
If you are not satisfied with our response or believe we have not complied with the requirements of the Data Protection Legislation with regard to your personal data, you have the right to lodge a complaint to the Information Commissioners’ Office (ICO).

Identity and contact details of controller:
For the purposes of the Data Protection Legislation:
- Procure Plus Holdings Limited is the Controller and Processor for its employees.
- OSCO Homes is the Controller for its employees and Procure Plus is the Processor.
Re:vision does not currently have employees.
Details of third-party processors used by companies within the Group as referenced above can be obtained from the Group Company Secretary.
